JOB PURPOSE:
Under the supervision of the Department Head – Human Resource Management, the Information and Documentation Officer is responsible for managing and organizing the company’s Information Resource Centre by acquiring, collating, storing and disseminating materials, as well as, maintaining a repository of reference books, magazines, journals and newspapers. The incumbent also responds to queries in accordance with the Access to Information Act and manages the physical and electronic records of employees and the general files in the HR Registry to ensure that records are easily retrieved and updated.
CORE RESPONSIBILITIES:
- Prepares advisory for staff who use reference materials in the IRC;
- Plans and coordinates the acquisition of and distribution of newspapers to all Divisions;
- Plans, co-ordinates and organizes Lunch Hour Sessions and Fairs to disseminate information to staff;
- Processes staff requests for library materials and books;
- Assists in creating the company’s newsletter – GovScope;
- Establishes contact with public and private entities that wish to offer services and products to staff;
- Coordinates and organizes the fulfilment of requests received from applicants under the Access to Information Act;
- Manages employee records and general files in the HR Registry;
- Attends internal and external meetings as required;
- Catalogues and Classifies all books and materials for ease of retrieval;
- Prepares purchase requisition for resource materials and submits it to the procurement department;
- Conducts needs analysis for books and other resource materials and makes the necessary requisition to acquire them;
- Ensures HR registry conforms to GOJ standards;
- Prepares Human Resource Management monthly reports.
REQUIREMENTS:
- Bachelor’s Degree in Library studies or equivalent.
- GOJ Records and Information Management Training (RIM) desirable.
- Three (3) years experience in a similar capacity.
