Job Purpose
Under the direct supervision of the Payment Supervisor, the Salaries Officer (fortnightly) is responsible for:
- Preparing salaries for employees of the Agency.
- Ensuring prompt payment of deductions and submitting records.
- Preparation of journals and accounting schedules
Key Responsibility Areas
Technical/Professional Responsibilities
- Maintain salary records for all paid staff in accordance with the relevant guidelines and policy documents.
- Update and safe keeping of all statutory payment records.
- Accurately compute and input the staff emoluments in the payroll software in accordance with the relevant Acts and ministerial circulars, in keeping with the established pay cycle timelines.
- Receive and record all salary related documents/instructions from HR, employees or their representatives.
- Prepare monthly and annual returns for submission to relevant agencies.
- Balance and update all salary records.
- Conduct research and prepare contribution letters for employees and former employees for submission to Government or other institutions.
- Prepare and reconcile related payroll accounting schedules to the general ledger monthly.
- Prepare assigned payroll related journals and submit for checking.
Customer Service Responsibilities
- Maintains customer service principles, standards, and measurements.
- Identifies and incorporates the interests and needs of customers.
Other Responsibilities
- Performs all other duties and functions as may be required sometimes.
- May be required to provide witness statements, attend court proceedings, and give evidence.

- Working knowledge of relevant computer system and their applications.
Minimum Required Education and Experience
- First Degree in Accounting, Public Administration, Business Management, or related field with emphasis in Accounting.
- Completion of CAT Level 3 or ACCA-AAT Level 3 or ACCA Level 1
- Any combination of education, training and experience that provides equivalent knowledge, abilities, and skills.
- At least one (1) year’s related experience.
