Major Duties and Responsibilities:
- Assists in recording and monitoring the acquisition of new assets by liaising with internal and external customers to ensure documentation is accurate.
- Assists in recording and monitoring the movement of assets on the compound through communication with managers, team leaders and security personnel to ensure the accurate location records.
- Assists in the periodic physical audit of assets to determine their current location and condition.
- Prepares monthly audit schedules
- Assists with receiving of incoming supplies and equipment.
- Receives all incoming supplies and equipment. Checks goods received against purchase order and invoice for correctness of items received. This activity may necessitate input of personnel from the requisitioning department for verification of technical items.
- Notifies supplier of any unsatisfactory goods received, makes report to supervisor and process return of item(s)
- Issues supplies upon proper authorization, using the First In, First Out principle
- Reviews stock records and recommends or initiates ordering of supplies to maintain adequate stock levels. Where stocks are at risk of spoilage or deterioration, recommend to the supervisor for items to be used by the Bureau
- Stores items in a manner to maintain the integrity of the items, minimize risk to staff and in conformity with ISO 14001, in collaboration with the Safety Officer
- Inputs data in relation to receipts and issues of stock items, to the electronic inventory management system, on a timely basis, ensuring that the system is up-to-date
- Performs semi-annual stock-taking and reconciles to stock records
- Assists with the preparation for the end-of-year stock count
- Assists with monthly capital budget report
- Assist with monthly PPE summary report
- Maintains required files on shipping/delivery slips and receiving reports
- Prepares monthly reports on disbursement of stock and their value for each department and distribute to relevant personnel
- Reviews and analyses monthly CUG bills for processing
- Performs any other related duties assigned
Minimum Educational Requirements:
- Diploma in Business Administration (with Accounting Major) or ACCA I /AAT
- Computer literate
Experience:
- One (1) year experience in an Accounting Department
Knowledge, Skills and Abilities:
- Knowledge of PBMA and the FAA Act
- Good interpersonal and communication skills
- Good customer service attitude
- Knowledge of Microsoft Office and Accounting Software
- Good analytical skills
- Ability to meet tight deadlines
- Keen eye for details
